Program Assistant
The program assistant provides administrative and logistical support for American Historical Association (AHA) programs and initiatives, including the Teaching with Primary Sources grant program, AHA committees, regional conferences, online events, activities at the AHA annual meeting, and related programs. The program assistant supports the planning, implementation, and administration of initiatives that promote history and history education at all levels. The position reports to the director of teaching and learning.
PRIMARY RESPONSIBILITIES/ESSENTIAL FUNCTIONS MAY INCLUDE:
- Provide administrative support for AHA Teaching and Learning staff, the Teaching Division of the AHA Council, and related committees. Responsibilities include scheduling meetings; preparing agendas, meeting materials, and follow-up reports; conducting research; taking and preparing minutes; and processing reimbursements and payments.
- Administer the Teaching with Primary Sources (TPS) Mid-Atlantic and US Territories Region program by coordinating the proposal review process; communicating with applicants, subrecipients, and the Library of Congress; administering the TPS mini-grant program; assisting with subrecipient agreements and reimbursements; managing the grants database; and providing general grant administration and applicant support.
- Assist with planning and logistics for in-person and online events, meetings, and programs including teaching and learning activities at the annual meeting, regional teaching conferences, TPS gatherings, department chairs workshops, webinars, and other events as needed.
- In collaboration with the AHA’s data administration manager, administer the AHA’s annual grant and prize competitions; correspond with committees, applicants, and nominees; monitor applications and submissions, and coordinate logistics for the prize ceremony at the annual meeting.
- Coordinate the Career Contacts program by reaching out to participants, facilitating and conducting interviews with AHA staff, connecting participants, and soliciting feedback through surveys.
- Collaborate with the AHA marketing team to promote and support teaching and learning programs. Responsibilities include drafting newsletters and other communications, building and maintaining teaching and learning webpages, coordinating event sponsorships, and assisting with branding and promotional messaging.
- Other duties as assigned.
REQUIRED QUALIFICATIONS/KEY ATTRIBUTES:
- Bachelor’s degree in history or comparable field
- Proficient with Microsoft Office and comfortable with learning new digital tools such as membership and conference databases, content management systems, and virtual meetings software
- Highly organized and detail oriented
- Ability to multitask and prioritize assignments from multiple staff members
- Ability to work independently
- Strong writing and communication skills
- Adept at handling confidential and/or sensitive information
- Must have legal right to work in the United States
SALARY/BENEFITS: $45,000–$49,000. Benefits package includes competitive medical and life insurance and a qualified retirement plan.
FLSA STATUS: Non-exempt
LOCATION, SCHEDULE, AND TRAVEL: Washington, DC, AHA Headquarters Office. Full-time, Monday through Friday. Hybrid workplace, with two required days in office per week. Travel once a year to the AHA annual meeting is required, as well as occasional travel to regional events.
